ORGANIZATION SUMMARY

The Canadian Academy of Recording Arts and Sciences/L’académie canadienne des arts et des sciences de l’enregistrement (CARAS) was formed in 1975 as an umbrella not-for-profit organization to oversee The JUNO Awards – Canada’s Music Awards, the Canadian Music Hall of Fame, and MusiCounts, Canada’s music education charity

CARAS was created to preserve and enhance the Canadian music industry and to contribute towards higher artistic and industry standards. CARAS’ mandate is comprised of four key pillars: Educate through our music education charity MusiCounts’ programs and initiatives, Develop emerging artists through mentorship and development programs, Celebrate Canadian artists through The JUNO Awards and other year-round initiatives, and Honour music industry icons through the Canadian Music Hall of Fame.

OVERALL POSITION 

The project coordinator will work primarily within the administration department, however cross-functional collaboration with other departments will be required for various projects. This role requires efficient multi-tasking, time management, and strong attention to detail. The project coordinator will also assist the overall team on-site at the 2023 JUNO Awards in Edmonton from March 9-14 2023.

PROJECT COORDINATOR RESPONSIBILITIES

  • Manage company project management software (Wrike)
    • Assist with onboarding new employees to the software
    • Troubleshooting
    • Help with implementation/streamlining of processes
    • Coordinate translation requests and liaise with an external french translator through the software
    • Manage the invoice intake through the software
  • Manage internship programs
  • Assist with funding reports
  • Tracking of licenses for copyrighted content
  • CARAS liaison with external IT company, Business Cloud
  • Develop and maintain corporate intranet
  • Hotel Inventory Management
    • Work closely with VP, Business Admin to establish needs and requirements
    • Lead hotel inventory management 
    • Liaise with third party accommodations procurement supplier to ensure they help secure proper accommodations
    • Liaise with stakeholders and work with them to establish their requirements and ensure their needs are met
  • Coordinating JUNO Week logistics including 
    • Logistics meeting
    • On-site office (working closely with Executive Assistant)
    • Assist with local transportation (working closely with Executive Assistant)
    • Staff dinner & party
    • Accreditation (Working closely with Executive Assistant)
  • Assist other departments as needed in streamlining processes

REQUIREMENTS

  • Knowledge of project management software (Wrike, Asana or similar)
  • High level of proficiency in Excel
  • Ability to self-manage and be proactive
  • French as a second language is an asset
  • Keen attention to details
  • Proficient with Google Suite (Docs, Sheets, Gmail, etc)
  • Resourceful and flexible
  • Proven organizational and time management skills
