Coordinator, Administration & Finance (Maternity Leave)

REPORTS TO: Director, Finance
LOCATION: Toronto, ON (currently remote – some in-office work required)
POSITION DETAILS: Full-time – 13 month contract

The Coordinator, Administration & Finance will perform duties in finance and administration. This role requires efficient multi-tasking with strong attention to detail. The role is currently remote but some on-site work will be required in Toronto. 



  • Key administrator of the organization’s project management software (Wrike) including staff onboarding, and various projects
  • Maintain tracking of licences for copyrighted content
  • Liaise with external french translator to coordinate translation requests 
  • Direct voicemail to the appropriate person in the organization
  • Coordinate deliveries/couriers, receive & sort mail
  • Maintain office supplies inventory
  • Maintain required COVID office documentation and protocols


  • Accounts payable including entering/coding invoices
  • Reconciling visa statements to receipts, calculating sales taxes, investigate discrepancies and locate missing receipts
  • Assist with grant reporting including compiling data/metrics and proof of payment documentation
  • Reconciliation of merchant account deposits (membership, tickets, submissions)
  • Assist with annual audit and preparation of backup documents
  • Other projects as required


  • University degree / college diploma or equivalent experience
  • Minimum 1 year administrative experience
  • Detail-oriented
  • Ability to prioritize and manage multiple tasks
  • Superb organizational skills
  • Must be proficient in G-suite, Microsoft Excel and Word
  • Basic accounting knowledge and experience using accounting software an asset
  • Experience using project management software an asset
  • Bilingual (French-English) an asset
